2. What this policy covers

2.1 This policy covers our website https://avstelematics.com: visitors, contact and quote requests, cookies, analytics and advertising.

2.2 It does not cover the AVS Telematics Android, iOS and web apps or the tracking platform. These are covered by the Application and Service Privacy Notice.

2.3 Our website may link to other websites. We are not responsible for their privacy practices.

3. What data we collect, why, and on what legal basis

3.1 When you visit the website (server logs)

3.1.1 Like every web server, ours records technical data automatically: your IP address, the date and time of the request, the page requested, the response status, the type of browser and device, and the page you came from.

3.1.2 We use it to deliver the website, to keep it secure, to detect abuse and to find and fix errors. The legal basis is our legitimate interest in running and securing the website (Article 6(1)(f) GDPR).

3.2 Contact and quote requests

3.2.1 When you send us a contact or quote request, we collect: your name, email address, phone number (optional), whether you are an individual or a business, the number of vehicles (optional), your message, the language of the website you used, the campaign parameters described in section 3.5, and the time at which you gave your consent (consent timestamp).

3.2.2 The request is emailed to us and saved in our database.

3.2.3 We use the data to answer your request, to prepare an offer and, if you decide to order, to prepare the contract. The legal basis is your consent, which you give when you submit the form, and the steps we take at your request before a contract is formed (Article 6(1)(a) and (b) GDPR). We also have a legitimate interest in handling enquiries properly (Article 6(1)(f) GDPR).

3.3 Cookies and similar technologies

3.3.1 We use strictly necessary cookies for the website to work: a session cookie, a form-protection cookie and a cookie that stores your cookie choices. They do not need your consent. Our language choice is stored in the web address, not in a cookie.

3.3.2 All other cookies need your consent. The Cookie Policy lists every cookie, its purpose and its lifetime.

3.4 Analytics and advertising (only with your consent)

3.4.1 If you consent, and only if these tools are switched on for the website, we use:

  • Google Analytics 4, to understand how visitors use the website (for example which pages they view and how they reach us);
  • Google Ads, to measure the results of our advertising;
  • Meta Pixel, to measure the results of our advertising on Meta's services.

3.4.2 These tools use cookies and may receive data such as cookie identifiers, your IP address, information about your browser and device, and the pages you view. The legal basis is your consent (Article 6(1)(a) GDPR and Law 3471/2006). You can withdraw it at any time, with effect for the future, using the "Cookie settings" link in the footer of every page.

3.5 Campaign parameters

3.5.1 If you reach our website through a link in an advertisement or a campaign, the link may contain campaign parameters (for example utm_* parameters, gclid or fbclid). We keep them in your session. If you then send us a contact request, we save them with it, so that we can see which campaign produced the request. The legal basis is our legitimate interest in measuring the effectiveness of our marketing (Article 6(1)(f) GDPR).

3.6 Embedded video (YouTube)

3.6.1 Our pages may contain YouTube videos, embedded through the privacy-enhanced domain youtube-nocookie.com. A video loads only after you click to play it. Before that, nothing is loaded from YouTube.

3.6.2 When you click, YouTube (Google) receives your IP address and technical data, and may set cookies or use similar technologies under its own privacy policy. The legal basis is your consent, given by your click (Article 6(1)(a) GDPR).

4. Who receives your data

4.1 We share personal data only where needed:

Recipient Why
Hosting and infrastructure providers To run the website and store our database.
Email service providers To send and receive email, including your contact requests.
Google (Analytics, Ads, YouTube) Only if you consent or click to play a video, as described in section 3.
Meta (Meta Pixel) Only if you consent, as described in section 3.4.
Professional advisers (for example accountants and lawyers) Where needed for our business and legal obligations.
Authorities, courts Where the law requires it.

4.2 Providers that process data for us (for example hosting and email) act on our instructions under a contract. Google and Meta process data for their own purposes as well, and may be independent or joint controllers for part of the processing. Please see their privacy policies (policies.google.com/privacy and facebook.com/privacy/policy).

4.3 We do not sell your personal data.

5. Transfers outside the European Economic Area

5.1 Some of the providers named above, in particular Google and Meta, may process data outside the European Economic Area, for example in the United States. Where this happens we rely on the safeguards that the GDPR requires, such as an adequacy decision of the European Commission (for example for certified US companies under the EU-US Data Privacy Framework) or the standard contractual clauses.

6. How long we keep data

Data How long
Server logs Only as long as needed for security and troubleshooting.
Contact and quote requests As long as needed to handle your request. If you become a customer, the data becomes part of your customer records (see the Application and Service Privacy Notice). If you do not, we delete or anonymise the request when it is no longer needed, unless we need it to defend legal claims.
Cookies For the lifetimes shown in the Cookie Policy.
Analytics and advertising data held by Google and Meta According to the settings of our accounts and the providers' own policies.
Records we must keep by law (for example tax and accounting records) For as long as the law requires.

7. Your rights

7.1 Under the GDPR you have the right to:

  • access your personal data and get a copy;
  • correct inaccurate data;
  • have your data erased, in the cases the law provides;
  • restrict the processing of your data;
  • object to processing based on our legitimate interests;
  • receive the data you gave us in a structured, commonly used and machine-readable format (data portability), where it applies;
  • withdraw your consent at any time, without affecting the processing done before.

7.2 To exercise a right, write to [email protected]. We may ask you to prove your identity. We reply within one month. In complex cases the law allows us to extend this period, and we will tell you. Exercising your rights is free of charge.

7.3 We do not take decisions about you based solely on automated processing that have legal effects or similarly significantly affect you.

8. Complaints

8.1 If you think we handle your data unlawfully, please contact us first. You also have the right to lodge a complaint with the Hellenic Data Protection Authority (www.dpa.gr), or with the supervisory authority of the country where you live or work.

9. Do you have to give us your data?

9.1 When you send a request, we need at least your name, email address and message to reply. Other fields are optional. Consent to analytics and advertising cookies is voluntary. If you refuse, you can still use the whole website.

10. Security

10.1 We use technical and organisational measures that are appropriate to the risk, such as encrypted connections (HTTPS), restricted access to our systems and database, and regular security updates. No system is completely secure, but we work to protect your data.

11. Children

11.1 Our website and services are meant for adults and businesses. We do not knowingly collect personal data from children. If you believe a child has sent us data, please write to [email protected] and we will delete it.

12. Changes to this policy

12.1 We may update this policy, for example when the law or our website changes. The date of the latest update is at the top of the page. If a change is significant, we will say so clearly on the website.
